SUPERSTAR GALA REGISTRATION RULES AND
CANCELLATION POLICIES
We are looking forward to a spectacular SuperStar Gala
Weekend! There are some policies and rules that have
been implemented for your benefit, so as to help you in
avoiding "situations" and so that you don't encounter
any surprises! These policies will apply equally to
all, to maintain complete fairness for everyone.
1.
Event participants must be 18 years of age or
older. Proof of age may be required when you arrive at
the event. Children under 18 may stay in the hotel
rooms without additional charge but may not attend any
of the SuperStar Gala events or performances. Hotels
limit the number of persons per hotel room to 4,
including children.
2.
Some hotels and resorts where SuperStar Gala
events are being held are entirely non-smoking,
depending on the policy of that given hotel or resort
property. SuperStar Galas has no control over this
policy.
3.
Package prices include all items listed on the
web page for your particular event, for one or two
people. The package price is the same for one or two
people.
4.
Seating is assigned on a first registered/best
table basis, so register early! For groups wishing to
be seated together, note the names in the “Special
Requests” section of each registration submitted. You
will be seated at the same table based on when the last
person in your group’s registration is received.
5.
Registrations and payments/credit cards are
processed when received. Regretfully, post-dated checks
or partial payments can not be accepted.
6.
In cases where information is missing, credit
cards are declined, incorrect account numbers are given,
incomplete payment is remitted, personal checks are
returned NSF or stopped, information is unclear on the
form, etc., every attempt will be made to resolve these
issues by telephone. However those forms may not be able
to be processed or assigned seating priorities until the
matters are resolved. For this reason it is very
important to send your forms in with complete and
accurate information and with payments that clear. Also,
it is important for registrants who receive a telephone
message from us to return the call promptly. The longer
it takes to resolve the challenge, the longer the
registration may be held up.
7.
On-line Credit Card Payment Acknowledgement must
be confirmed by the CARDHOLDER ONLY. If credit
cards are initially declined, Convention Concepts will
periodically continue trying to process the charge
unless instructed otherwise by the applicant.
8.
Prior to the Cancellation Deadline Date no reason
for cancellation is required. However, all cancellations
must be submitted in writing (mail or fax), signed by
the person listed as the registrant or the person who
paid for it. A $100 per person cancellation fee will
apply.
9.
Refunds are generally administered after
the conclusion of the event.
10.
After the Cancellation Deadline Date, there can
be NO CANCELLATIONS and there will be no refunds
for cancellations made after the refund deadline date.
There are no cancellations for registrations first made
after the Cancellation Deadline Date. HOWEVER, YOU
CAN NAME CHANGE YOUR REGISTRATION AND RESERVATION TO
ANOTHER COUPLE AFTER THE CANCELLATION DEADLINE DATE,
WITHOUT PENALTY, AT ANY TIME PRIOR TO THE START OF THE
EVENT. Name changes for event packages must be conveyed
in writing to SuperStar Galas and not done just
between individuals themselves or by picking up other
people's registration packets at time of check-in.
Photo I.D. will be required prior to hotel/resort
check-in and receipt of your welcome packet and event
admission passes.
11.
At the hotel or resort registration desk,
registrants can only pick up welcome packages for
themselves and their companion. PHOTO-ID WILL BE
REQUIRED.
12.
Prior to the event, name changes can only be made
to registrations with written authorization from the
cardholder, signed by the cardholder. Once
on-site the cardholder must either be present to make
the change personally or have sent written
authorization, signed by the cardholder.
13.
Additional nights before and after the event, as
well as accommodation upgrades, are available by
contacting the hotel or resort directly (at the phone
number listed on the SuperStar Gala Web Page for your
event) and advising that you will be attending the
SuperStar Gala event. This will give you access to any
applicable special discounted rates that have been
arranged for additional nights and accommodation
upgrades. Payment for additional nights and upgrades
will be between you and the hotel or resort directly and
are based on availability.
14.
Hotel reward program points can not be redeemed
for the basic package portion of SuperStar Gala
Weekends. They can be used for extra nights and
upgrades, in accordance with the terms of your hotel
rewards programs.
15.
If you have special dietary requirements or
disability needs, please note these in the “Special
Requests” section when filling out your registration
form.
