REGISTRATION AND CANCELLATION POLICY RULES FOR NETWORK MARKETING.

We are looking forward to a spectacular function! There are some policies and rules that we have made for your benefit, so as to help you in avoiding "situations" at the event and so that you don't encounter any "surprises"! These policies will apply equally to all, so as to be fair to everyone

  1. Registrations and payments/credit cards are processed when received. Regretfully, post-dated checks or partial payments can not be accepted.
  2. We can not be held responsible for postal delays. Where deadlines are concerned, the earliest postmark date or the date received (whichever is stipulated on the registration form for that particular cut-off) will apply. Please take responsibility for having your form in on time and filled out completely.
  3. Bedding is assigned based on the number of adults listed. Two-bedded rooms must be saved for triple and quad adult packages first. Singles and couples are assigned king or queen beds. Child bedding comes after adult priorities and can not be guaranteed.
  4. If separate dates apply for different people in the same room, please be sure to designate on which date each separate person will be arriving and departing.
  5. When ordering extra nights, be sure to list your correct arrival and departure dates.
  6. When filling out upline information, please ensure that your next immediate uplines only are listed. For example, if the closest upline pin to you is an Emerald, then your Emerald is also considered to be your Sapphire and the Sapphire line would be left blank.
  7. Personal checks and credit cards may not be used for any on-site registration procedures. Cash, cashiers checks, money orders or travelers checks only.
  8. In cases where information is missing, credit cards are declined, incorrect account numbers are given, incomplete payment is remitted, personal checks are returned NSF or stopped, information is unclear on the form, etc., every attempt will be made to resolve these issues by telephone. However those forms may not be able to be processed or assigned seating priorities until the matters are resolved. For this reason it is very important to send your forms in with complete and accurate information and with payments that clear. Also, it is important for registrants who receive a telephone message from CCU to return the call promptly. The longer it takes to resolve the challenge, the longer the registration may be held up. If payment is not resolved by the Earlybird Deadline Date (where applicable) late fees (if applicable) will apply, even if the form was received beforehand.
  9. Credit Card Authorization Blocks must be signed by the CARDHOLDER ONLY. Please do not sign for someone else's credit card, as the form will NOT be processable! If credit cards are initially declined, Convention Concepts will periodically continue trying to process the charge unless instructed otherwise by the applicant.
  10. Prior to the cancellation deadline no reason for cancellation is required. However, all cancellations must be submitted in writing (mail or fax), signed by the person listed as the registrant or the person who paid for it. A $15 per person cancellation fee will apply (plus any applicable handling charges).
  11. All refunds are administered after the conclusion of the event.
  12. After the cut-off date, there are NO CANCELLATIONS OR NAME CHANGES except in cases of certified medical emergencies, a death in the family, military duty or severe weather preventing transportation to reach the event. There are absolutely no refunds for cancellations made after the refund deadline date except for these special situations. In these cases registrants need to submit a doctor's letter confirming that they were unable to attend the event due to a medical reason, or some form of proof regarding one of the other bonafide reasons. In these cases a full refund is administered, less only the $15 per person cancellation fee (plus any applicable handling fees). Please do not sell your space or tickets to someone else, or have them pick up your tickets, thereby circumventing the registration procedures!
  13. If a registrant can not attend the function because of a last-minute medical, death, military or weather emergency, they MUST notify the CCU office BEFORE the function. If a registrant does not know until the day of the function that they will be unable to attend, they simply need to call the Convention Concepts office during regular business hours or call the hotel or convention center where the event is taking place and ask for your convention registration desk, where staff can be reached for such notifications. If notification is not made until after the event has concluded, it will not be possible to refund room or meal portions of the package because the room will have been held and meals will have been guaranteed and cooked.
  14. In cases where name changes are made (with notification made before the deadline date or for authorized exceptions after the deadline date), it is imperative that they be done through the convention registration and not just between individuals themselves or by picking up other people's tickets.
  15. At the registration desk, registrants can only pick up packets themselves, or their spouse. PHOTO-ID MAY BE REQUESTED.
  16. In cases where a last-minute emergency qualifies for a bonafide refund, the registrant should not sell their package to someone else, but instead should make a formal cancellation with refund, and for the prospective replacement attendees to purchase a new package. In any case, once any part of a cancelled package is broken apart, we can no longer refund pieces of the package. A whole package that is qualified for a refund can be refunded, as long as it is left intact.
  17. If individuals wish to be added to another's room, the lead person whose name the room is listed under must give written authorization for the addition to be made.
  18. In advance, changes can only be made to credit card registrations with written authorization from the cardholder, signed by the cardholder. On-site the cardholder must either be present to make the change personally or have sent written authorization, again signed by the cardholder.

We hope this information will help you understand the policies for these events. If at any time you have questions, please do not hesitate to ask. We appreciate the opportunity to serve you and look forward to seeing you at these dynamic events.
